Classroom and Meeting Room Reservation Policy
Reservations for Classrooms: 104, 112, 112A, 212, 215, 320, 411, 423A
Time Schedule Construction period:
- Approximately 3-4 weeks prior to a quarter’s Time Schedule construction deadline, Instructors will have the opportunity to communicate specific pedagogical classroom needs in Course Planner. Instructions will be sent via email or found at Room Preferences Instructions
- The Academic Planning Specialist will locate and assign appropriate rooms for each course based upon pedagogical needs. In most cases expected class size will be the primary pedagogical need taken into consideration. Courses will be scheduled in Miller Hall when possible, but space limitations necessitate that many courses will be scheduled outside of Miller Hall. Because of this, it is important that faculty and the AST indicate a non-Miller building preference each quarter.
- Instructor room preferences – for example, convenience to instructor’s office, general condition of a room, or availability of windows – will be considered during the room assignment process but will not take priority over pedagogical needs. In addition, use of a room in prior quarters does not necessarily give an instructor priority for future use.
- The Time Schedule Construction schedule is posted on-line at the Time Schedule and Room Assignment Office website.
Subsequent requests for classroom changes and/or additional classroom space
Subsequent requests for classroom changes and/or additional space should be sent to coerooms@uw.edu. Requests for Miller Hall classroom changes will be considered based upon pedagogical needs first, and upon instructor preferences second. Rooms will be reserved in Miller Hall if at all possible, but space limitations necessitate that many courses will be (re)scheduled outside of Miller Hall. The Academic Planning Specialist will contact the Time Schedule office for course related room requests that will need to be fulfilled in on-campus rooms.
Use of Classrooms for meetings and events:
- The use of a room for listed College of Education academic courses will take priority over other reservations. Classroom needs may necessitate mandatory room changes of other, previously scheduled, non-course room reservations. Classrooms will be available for booking meetings and events approximately 1 week prior to the beginning of the quarter. Whenever possible, staff, faculty and students are encouraged to schedule meetings in designated conference/meeting rooms.
- After courses, priority for classroom use will go to (a) College faculty, staff, and students conducting College business and then (b) to informal use by College of Education students. Non-College of Education requests will be considered on a case-by-case basis.
Conference/Meeting Room Reservations: 102T, 122H, M210, 201, 206E
- Faculty and staff may reserve most meeting rooms in Miller Hall by using the College of Education Meeting Room Booking System (MRBS website). This system will allow for one-time or repeating room reservations. Meeting room reservations can be made at any time. Please note: meeting rooms are generally located within suites that lock at 5 PM.
- At this time, system security protocols do not allow student access to the MRBS, except for RAs and TAs, who have view-only access. Students who need to reserve meeting rooms are welcome to make these reservations with the assistance of a faculty or staff member or by sending an e-mail message to coerooms@uw.edu.
- It is incumbent on all MRBS users to cancel room reservations they will not use. Likewise, it is incumbent on all users to change any room reservations in the system once they have decided upon a change.
Technology Center Computer Lab Reservations: 424
- The equipment in the computer lab was generously funded with Student Technology Fees. All items funded by the STF must be used primarily by students. Classes should only book the lab for infrequent/incidental use. The lab should be kept open for student walk-in use even when reserved.
- Faculty and staff may reserve the computer lab in 424 Miller Hall by using the College of Education Meeting Room Booking System (MRBS website).
- At this time, system security protocols do not allow student access to the MRBS, except for RAs and TAs, who have view-only access. Students who need to reserve the lab are welcome to make a reservation with the assistance of a faculty or staff member or by sending an e-mail message to edhelp@uw.edu.
“Pedagogical needs” include, but are not limited to: expected class size, disability or other accommodations, mobility of desks and chairs, concerns about personal safety of faculty or students, and technology or other room amenities.
